In Scopevisio Documents DMS, you can create your own collections to organise your documents clearly.

What are collections?

You can create multi-level folder structures in Scopevisio Documents DMS. The top level of this structure is called a "collection".

How do collections work?

The linking principle

Collections work differently to conventional folder structures:

  • Files are not physically moved or copied

  • Instead, files are linked to the collection

The advantages of this system

Saves storage space:

  • A file can be linked to several collections

  • The file still only exists once in the system

  • This saves you valuable storage space

Centralised file management:

  • Changes to a file are immediately visible in all linked collections

  • You do not have to update files multiple times

  • All users always see the latest version

Why are collections practical?

You get direct and fast access to all linked documents.

  • You can create folders within a collection

  • You can create further subfolders within a folder

  • You can create any number of hierarchy levels

  • You design your organisational structure individually according to your needs

  • You can share an entire collection with one click

  • Sharing automatically applies to all linked content

  • You can share collections with individual users or entire user groups

  • This saves you a lot of time in rights management

How do I create a collection?

Click on "NEW COLLECTION", assign a name and confirm with ENTER
