Creating a new collection

How to create a new collection:

  1. Click on the "NEW COLLECTION" button

  2. Enter a name for the collection

  3. Confirm your entry with the ENTER button

The collection is now created and ready for use.


Adding documents to a collection

You have two options for adding documents to a collection.

Option 1: Drag and drop

Add documents from the DMS:

  1. Select the desired documents or folders

  2. Hold down the mouse button and drag them to the desired collection

  3. Release the mouse button to create the link

Upload files from your computer:

  1. Open the desired collection

  2. Drag the file(s) directly from your desktop into the browser window

  3. The files are automatically uploaded and linked to the collection

Option 2: Upload file via the menu bar

  1. Open the desired collection

  2. Click on the "Upload" button in the menu bar and select "Upload files/folders"

  3. Select the documents, files or folders you want to upload

  4. Confirm the upload

What you can upload:

  • Single documents

  • Several files at the same time

  • Entire folders with subfolders


Tip: The drag-and-drop method is particularly quick and intuitive for everyday use.


Delete a collection

Important prerequisite: Ownership

Only the owner of a collection can delete it.

Who is the owner?

  • The person who created the collection

  • Or the person to whom ownership has been transferred

If you are not the owner, you cannot delete the collection.


How to delete a collection

You have two options for deleting a collection.

Option 1: Via the cogwheel icon

  1. Select the desired collection

  2. Click on the cogwheel icon in the top right-hand corner

  3. Select the option to delete the collection

  4. Confirm the deletion process

Option 2: Via the context menu

  1. Right-click on the desired collection

  2. The context menu opens

  3. Select the option to delete the collection

  4. Confirm the deletion process


What happens to the documents?

Important to know:

  • The documents in the collection are not deleted

  • The documents remain in the system

  • Only the collection itself is removed

  • Access to this collection by users or groups is prevented

  • The documents can still be found via other collections or the search function


Summary: Deleting a collection only removes the link structure, not the actual documents.
