You can use an external link to share documents, collections or folders with third parties outside the system.
The link is a URL address that recipients can use to access the current status of the shared content.
Authorisations for creating external links
Administrators and internal users
You can create external links to all visible collections, folders and documents.
External users
They can only create external links for collections and documents that they themselves own.
Guests
Guests cannot create external links.
Properties of external links
You can configure the external link individually.
Changes to the configuration take effect immediately.
The URL address remains the same so that you do not have to send the recipient a new link.
If you delete the link, it is deactivated immediately.
It is not possible to restore it.
You can create a new external link if required.
Creating an external link for collections or folders
Procedure
Select the desired collection or folder.
Select "External link for this collection/folder".
Configure the link as required.
Create the link.
You can then close the window:
Close it by clicking on "X" (top right), or
Close it by clicking on "Save".
Summary
Internal users and administrators can create external links to all visible content.
External users only for their own content.
Guests are excluded.
Links are configurable, remain stable in the URL and cannot be restored if they are deleted.
