You will find the following buttons in the archive data grid:

Refresh, Search, New, Processes, Workflow and Quick search.

Refresh

You can refresh the data grid with the Refresh button.


Search

New

Click on New to archive a new document. An input screen opens.


Operations

You can carry out further actions for a document here.

Important: These processes are role-dependent. You need administrator rights to be able to execute all commands.

Hide

You can hide processes that should no longer be displayed.

Multi-Edit

You can use Multi-Edit to edit the index data of several processes at the same time.

Prerequisite: Your role requires the corresponding rights.

To edit multiple processes:

  1. Select the desired processes in the archive grid

  2. Select Multi-Edit

Delete

You can delete processes as an administrator.

Procedure:

  • Select the Delete entry

  • A confirmation prompt appears

  • You can delete the process under certain conditions

Extras

Under Extras, you will find the options to summarise or export documents as a PDF.

Combine documents

You can merge all printable pages of documents into a single PDF file.

To combine documents:

  1. Select one or more processes

  2. Click on this menu item

  3. All printable pages of all documents of the selected processes are merged into one PDF file

  4. You can view or download the file in the browser

Sequence:

  • The order of the processes corresponds to the display in the data grid

  • The order of the documents corresponds to the display in the processes

What is exported:

  • All printable documents

  • The metadata of the sub-tables of a process in PDF format

  • The column formats configured in the admin area are adopted

Duration and result:

  • Depending on the size of the documents, summarising can take a few seconds

  • You will then see a dialogue with the result and a link to the finished document

  • The number of pages is specified

  • You may see a list of file names of documents that could not be taken into account (e.g. ZIP files that cannot be printed)

Open document: You click on Show document to open the generated PDF file in a new browser tab.

Export

You can export the selected documents directly in a selected file format and save them outside SV Documents.

Export type "CSV with documents":

  • Creates a zip file

  • Contains the documents of the selected processes

  • Contains an Index.csv file with the metadata


Workflow

You can perform the following actions using the Workflow button:

  • Send a document to a workflow

  • Place a document in another user's mailbox

  • Add a comment


Quick search

You can easily search for individual processes and documents here.

Functions:

  • The auto-complete function recognises hits as they are entered

  • Hits are highlighted in colour

  • The search also works in number and date fields
