You can create and configure new workflows. This article explains how to create workflows, add statuses and export/import workflows.

Create a new workflow

Creating a workflow

You can create and name a new workflow using the "New" button.

Input dialogue

After clicking on "New", a dialogue box appears in which you can enter the following information:

  • Name: Assign a name for the workflow

  • Type: Select the type of workflow

  • Description: Add a description (optional)

Select workflow type

Select the "Ad-hoc workflow" type here.

Save and configure

Step-by-step instructions:

  1. Assign a name

  2. Select the "Ad hoc workflow" type

  3. Save the entries

  4. You can now configure the workflow


Understanding the status sequence

Display sequence

The order of the statuses in the table also determines the order in which they are displayed elsewhere in the interface.

Examples of the display:

  • When changing status

  • In the role configuration


Add status

Create new status

To add another status to the workflow, select the "New" button.

Configure status

You can now make the following settings for each new status:

  • Name: Give the status a name

  • Description: Add a description (optional)

  • Background colour: Select the background colour


Hide status

"Hidden" option

If you set a status to "hidden", this has the following effects:

Behaviour:

  • This status is not displayed in the status column in the data grid of the processes

  • The field remains empty

  • However, the process itself remains visible as normal

All statuses hidden

If all statuses in a workflow are set to "hidden", the status column is completely hidden in archives that use this workflow.


Set start status

What is the start status?

The start status determines the initial status of newly archived processes.

Mandatory field

The start status is a mandatory field. A workflow must therefore always contain at least one status.

Automatic creation

When a new workflow is created, a status is always created automatically and set as the start status.


Exporting and importing workflows

Export function

You can export any workflow to another archive. This also works in archives of other users.

Import function

You can import workflows from another archive.

Export process

When exporting, you create a JSON file.

Import process

You can read this JSON file when importing it into another workflow.

Advantage: You can easily transfer workflows between different archives or systems.
