Open process

You open a process by double-clicking in the data grid. You will find the area with the Edit and Workflow buttons in the process editing screen.

What you can edit

You can edit documents that have already been archived, provided you have the appropriate authorisation.

Note: The Edit button is only available if the administrator has defined fields for the archive that can still be changed after archiving.

Editing lock

If you open a process and click on Edit, this process is locked for editing by other users.

What other users see

Other users see the following message when they open the process: "The process is being edited by ..."

Automatic release

If there are network problems, the process is automatically released again after 60 seconds at the latest.

End processing

You end processing and release the process again with :

  • Save or

  • Save and close

Adding documents

You can add new documents to the process in the Documents area.

Prerequisite: The Add button is only available if your role has the corresponding authorisation.

Options for adding

You can add new documents in the following ways:

  • Upload

  • Add from the inbox

  • Add from the DMS

Replace documents

You can replace documents with newer versions.

To replace a document

  1. Select the desired document

  2. Click on the Replace button in the document menu on the right-hand side

  3. Select the new file:

    • Upload new or

    • Select from the inbox or

    • Select from the DMS

Shared links are retained

If there are shared links to a document, these links remain after the replacement and point to the new document.

Moving documents

You can change the order of the documents. Use the arrow keys to move the selected document up or down.
