Overview

The Inbox is the area in Scopevisio Documents Workflow into which all documents are imported that are intended for you to process.


Available menus

The following functions are available in the Inbox:

Refresh

Updates the document list in the inbox

Archive

Adds the selected document (or the selected documents) to an archive. Opens a selection menu with the archives for which you have authorisation

New

Opens a file selection window that you can use to add documents to the inbox

Forward

Forwards documents in your inbox to other users

Delete

Allows you to delete documents in the inbox after a confirmation prompt


Importing documents into the inbox

You have several options for importing documents into the inbox:

1. drag & drop

You can drag & drop documents directly into the inbox.

Advantages:

  • No additional tools required

  • Fast and intuitive operation

Result: "Web client" is displayed in the "Source" column.


2nd "New" button

You can click the New button in the button bar of the inbox.

Procedure:

  1. Click on the New button

  2. A file selection window opens

  3. Select one or more files

What you can do:

  • Press the Refresh button to see the processing status

  • During processing, you will see the entry "Unprocessed" in the "Status" column

  • If you have selected several documents, they will be combined into one process

Result: "Web client" is displayed in the "Source" column


3. assigned by other users

You can have documents assigned to you by colleagues.

Result: The name of the colleague is displayed in the "Source" column.

Share documents within a group

You can share documents in the inbox within a group.

This is how it works:

  1. Forward a document from your inbox to a group

  2. The document becomes visible in the inbox of all group members

  3. The document shows a group marker in the "Group" column

  4. Each member of the group can edit the document further

Behaviour depending on group membership:

You are part of the group

The document remains visible in your inbox and is supplemented by the group marker

You are not part of the group

The document disappears from your inbox (as with normal forwarding)

ℹ️ Information on group configuration:

  • Groups are defined in the administration interface in the "Groups" area

  • You can assign any number of users to a group

  • A user can be assigned to one or more groups in their settings


4. hotfolder

If the administrator has set up a hotfolder for your inbox, you can drag documents into this directory to have them processed.
