DMS settings

The following accesses can be managed in the DMS settings:

Auditing

This setting allows selected users to record views and downloads of documents in their collections.

Archiving

This setting allows selected users to archive collections and define expiry rules for the documents they contain.

Regardless of this selection, other users can continue to add documents to an archive and work with them within the scope of the archiving restrictions.

Dearchiving

This setting allows selected users to perform actions with archived documents that are actually prohibited by archiving.

This includes modifying and deleting documents, as well as removing documents from an archive.

Force two-factor authentication

This setting forces selected users to activate two-factor authentication before they can access this client again.

ATTENTION: Selecting a user or a role will IMMEDIATELY block their access to this tenant unless they have already enabled two-factor authentication. It is recommended to inform all affected users in advance and give them enough time to set up two-factor authentication.

Users with blocked access will be given the opportunity to set up two-factor authentication when entering the web client. Blocked users will also still be able to access other clients of which they are a member.

PDF annotations

This setting allows selected users to create and edit annotations on PDF documents in the web application. Edited annotations remain visible to these users even if they are not saved in the document itself.

Other users can only see edited annotations of PDF documents if they are saved in the document.

Collection settings

In the collection settings, you can activate how you want to proceed with collections by ticking the relevant box.

Unique collections

If this setting is activated, unique names must be used when creating or renaming collections.

Visibility of inherited shares

If this setting is activated, internal users can see all shares of shared folders, even if they were inherited from parent folders (or the respective collection itself) that are not visible to these users.

Visibility of full paths

If this setting is activated, internal users can see the full paths of shared folders, even if parent folders (or the respective collection itself) are not visible to them.

Notification settings

Email notifications must be activated globally so that users of this client can receive email notifications or configure them in their user settings.

Emails for user invitations or password resets are not affected by this setting.

Other settings

Recycle bin expiry period

The number of days that a document spends in the recycle bin before it is finally deleted. Is applied to the recycle bins of all users.

Mandatory configuration for external links

All specified criteria must be met when creating or changing an external link.
You can make a password and/or an expiry date a mandatory field.
