Overview
Scopevisio Documents offers you three different search options. Choose the method that best suits your task.
1. quick search
What is the quick search?
The quick search allows you to easily search for individual processes and documents.
Functions of the quick search
Auto-complete:
Recognises hits directly as you type
Shows you matching results immediately
Highlighting of hits:
Hits are highlighted in colour
Works in all field types:
Text fields
number fields
Date fields
When should you use the quick search?
You are looking for a specific process
You know part of the search term
You want to search quickly without complex filters
2. dialogue search
What is the dialogue search?
The dialogue search is the simplest method for carrying out a structured search. It opens a dialogue box with several search options.
Available search fields
The dialogue box contains:
A full text search line
All fields for this archive
A search field for the status
Full text search
You can search all documents whose text can be extracted.
Supported document types:
Most PDF documents
TIFF files with OCR (text recognition) performed
Important: You can combine the full text search with other search fields.
Understanding search results
What is displayed?
Only processes that contain at least one matching document
A short text excerpt below the document preview
The location found in the document
Search terms in the PDF viewer:
Your search terms are highlighted in colour
The first document with a hit is opened automatically
Input help
Existing values are suggested in the text fields. This makes your search easier.
3. column search
What is the column search?
The column search displays an additional line above the transaction list. You can define detailed search criteria here.
How the column search works
You can:
Select field names (or "Full text")
Enter target values
Use various comparison operators
Areas of the column search
The columns are divided into three areas:
Data fields
Contains the fields configured for the archive
Extended
Enables a full text search, for example
Provides additional search options
Standard columns
Contains fields stored in the system
Examples: Processor, archive date
Date search
You have several options when searching in date columns:
Absolute date values:
Enter a specific date
Placeholder:
"Today"
"Yesterday"
Advantage of placeholders: You can save the filter. The current date is automatically used the next time you use it.
Search in sub-tables
You can also search in sub-tables.
Example:
Sub-table: "Account assignment"
Search criterion: Specific cost centre
Concatenate search queries
You can combine several search criteria:
Click on the plus button
Concatenate individual filter terms with AND
