Sub-tables are special tables that you can insert as data fields in archives. They provide an even more precise overview of all relevant data. This article explains how to create and use sub-tables.


What are sub-tables?

Basic function

Sub-tables are special data fields that can store structured information in tabular form within a process.

Preconfigured sub-tables

Special sub-tables have been configured for the Invoice and Contract business solutions. However, you can also create your own sub-tables.


Create your own sub-tables

Access to the sub-table administration

You create sub-tables in the administration interface in the "Sub-tables" area.

To create a new sub-table

Step-by-step instructions:

  1. Click on "New"

  2. Create your own sub-table

  3. Provide the sub-table with data fields

  4. Save the sub-table

Use the sub-table in an archive

Once you have created the sub-table, you can select it as a column type in an archive data field.

Understanding role rights

In the role rights, the sub-table is viewed as a whole.

Important to know:

  • If a user is given write access to the data field, they can change the table values as required

  • The user can add values

  • The user can delete values

There are no separate authorisations for individual columns or rows within the sub-table.


Default filter in sub-tables

Filtering data table suggestions

In sub-tables, you can configure a suggestion filter for suggestions from data tables.

Function: The suggestion filter restricts the displayed suggestions from data tables and makes it easier to select relevant values.


Sub-tables in the quick search

Activate quick search function

You can optionally include sub-tables in the quick search.

Default setting: This function is deactivated by default.

To activate the function

You activate the function in the archive configuration via the "Include sub-tables in quick search" option.

Effect on the search

If this option is activated, all processes for which there was a search hit in at least one sub-table are displayed in the data grid.

Important: The search hit can be in any column of the sub-table.

Performance note

Attention: With very large archives, this function can lead to a delay in the quick search.

Recommendation: Only activate this function if you really need it and your archive is not too large.
